Wait List Processing window

From Exposition, select Process booth orders, open an order, click More, and select Booth Waitlist

Exposition

Displays the name of the current exposition.

Name

Displays the name of the exhibiting company on a wait list.

Booth Size

Displays the size of the booth product for which the exhibiting company is wait-listed.

Date

Displays the system date the exhibiting company was placed on the wait list.

Time

Displays the system time the exhibiting company was placed on the wait list.

Status

Displays the wait listing status for the exhibiting company.

Date/Time Requested

Enter the actual date and time that the exhibiting company requested to be on the wait list.

Booth Size Requested

Enter the size of the booth requested by the exhibitor.

Units Requested

Enter the number of booths requested by the exhibiting company (units represent the standard booth dimensions for the exposition).

Corners Requested

Specify whether corners were requested for the booth.

Comments

Enter notes regarding the wait list.

Wait List Status

Enable the current wait list status; for example, has the wait list offer been accepted or declined?

Booth Size Filter

Select a filter to shorten the list of the displayed booth products.

List Sort

Organize the wait list by Company Name or Date/Time Requested.

List Filter

Select from among three options for viewing the list. You can select one, two, or all three of these options:

■    No Offer Tendered - Lists companies eligible to be placed on a wait list but that have not received an offer to be placed on the list.

■    Offer Accepted - Lists companies that have accepted and have been placed on the wait list.

■    Offer Declined - Lists companies that were offered the opportunity to be placed on the wait list but declined the offer.

To add an exhibitor to a wait list

1.  From Exposition, select Process booth orders to open the Process booth orders window.

2.  Enter or open an order (see Finding Exposition Orders).

3.  Double-click a booth product, and enter a Qty:

□    If the inventory for that booth is filled, and the booth product is not available, a message states that no more booths are available. Click OK.

□    If the booth inventory is not yet 0, but the quantity you are ordering is greater than the remaining inventory, a message states only X number of booths are available. Click OK. The order quantity is reset to its original value. Re-enter the order quantity.

Note: If you have sold the maximum number of booths but have not inventoried those booths, the non-inventoried booths still display under the Available list on the Booth Inventory Assignment window. These booths actually are not available because the total number of booths for the selected product has been sold. If you try to add the booths to the current order, the system displays the wait list message.

4.  Click Save to add the order.

5.  Add the exhibitor to a booth wait list:

□    Click More, and select Booth Waitlist to open the Wait List Processing window. A message states that you must enter values for booth size and quantity requirements.

□    Click OK. The name of the exhibitor displays on the window, and the Date/Time Requested field is populated automatically.

□    Select the Booth Size Requested.

□    Enter the number of Units Requested.

□    (optional) Enter the number of Corners Requested.

□    (optional) Enter a Comment.

□    Enable the appropriate Wait List Status.

6.  Click Save. When viewing an order, a product that has been placed on a wait list displays with an asterisk (*) next to it.

To view wait lists

1.  From Exposition, select Manage wait lists to open the Manage wait lists window.

2.  Click Open to display the Exposition Search window.

3.  Double-click the exposition you want to view to open it in the Manage wait lists window.

4.  Select a Booth Size Filter (Select ALL or a specific booth size).

5.  Select a List Sort option.

6.  Enable the appropriate List Filter options.

To remove an exhibitor from a wait list

1.  From Exposition, select Manage wait lists to open the Manage wait lists window.

2.  Find an exhibitor on a wait list:

□    Click Open to display the Exposition Search window.

□    Double-click an exposition to display all exhibitors on wait lists.

3.  Select an exhibitor.

4.  Click Delete. A message prompts you to verify removing the exhibitor from the wait list.

5.  Click Yes to remove the exhibitor from the wait list.

Note: If the company decides to order this product at a later time, and the product is not available at the time of ordering, you can place the company on the wait list again.

To increase booth availability for an exhibitor on a wait list

1.  Open a product on the Exposition Product Detail window:

□    From Exposition, select Set up an exposition to open the Set up an exposition window.

□    Double-click the exposition to open it on the Set up an exposition window (second instance).

□    Select a product from the list of Exposition Products.

□    Click Edit to open the Exposition Product Detail window.

2.  Increase the Max. Available quantity. (If a wait list exists for the product, a message indicates the number of companies on the wait list. Click OK.)

3.  Click Save to update the Exposition Product Detail window.

4.  Open a wait-listed company's order on the Process booth orders window.

5.  Edit the company's order:

□    Click Edit.

□    Select the booth product that is on the wait list.

□    Update the order Qty as availability allows.

□    Click Booth Inventory, and assign booth number(s) for the product on the Booth Inventory Assignment window.

Note: If booth numbers are not assigned, the wait list * will not be removed from the product.

Note: A message displays if you try to update the quantity for more than the amount available. Click OK, and update the order Qty based on the number of booths that are available.

6.  Click Save to update the order. If booth numbers were assigned to the booth product, a message prompts you to delete the wait list entry:

□    If the order is for the quantity specified on the wait list, click Yes to remove the company from the wait list.

□    If the order is for less than the quantity specified on the wait list, click No. Manually update the wait list entry to reflect the number of booths required and the status of the wait list:

7.  Open the Manage wait lists window (from Exposition, select Manage wait lists).

□    Find the company whose entry you need to edit.

□    Click Edit, adjust the Units Requested, and enable the No Offer Tendered under Wait List Status.

□    Click Save.

To add additional booths for an exhibitor on a wait list

1.  Open a product on the Exposition Product Detail window:

□    From Exposition, select Set up an exposition to open the Set up an exposition window.

□    Double-click the exposition to open it on the Set up an exposition window (second instance).

□    Select a product from the list of Exposition Products.

□    Click Edit to open the Exposition Product Detail window.

2.  (optional) Add a single booth:

□    Click Booth to open the Booths window.

□    Click Add Individual.

□    Enter a New Booth Number.

□    Click Save.

A message states that the maximum available quantity is being adjusted.

□    Click OK.

A message lists the number of companies on the wait list and prompts you to view the wait list.

□    (optional) Click Yes to open the wait list, and note the companies listed.

3.  (optional) Add a series of booths:

□    Click Booth Generator to open the Booth Generator window.

□    Enter the Starting Booth #, # of Booths, and Increment By number.

□    Click Save.

A message states that the maximum available quantity is being adjusted.

□    Click OK.

A message lists the number of companies on the wait list and prompts you to view the wait list.

□    (optional) Click Yes to open the wait list, and note the companies listed.

4.  Open a wait-listed company's order on the Process booth orders window.

5.  Edit the company's order:

□    Click Edit, then select the booth product that is on the wait list.

□    Update the order Qty as availability allows.

□    Click Booth Inventory, then assign booth number(s) for the product on the Booth Inventory Assignment window.

Note: If booth numbers are not assigned, the wait list * will not be removed from the product.

6.  Click Save to update the order. If booth numbers were assigned to the booth product, a message prompts you to delete the wait list entry:

□    If the order is for less than the quantity specified on the wait list, click No. Manually update the wait list entry to reflect the number of booths required and the status of the wait list.

7.  Open the Manage wait lists window (from Exposition, select Manage wait lists).

□    Find the company whose entry you need to edit.

□    Click Edit, adjust the Units Requested, and enable the No Offer Tendered under Wait List Status.

□    Click Save.

To cancel an order for a wait-listed booth

1.  Cancel the order. See Canceling Exposition Orders.

2.  Remove the exhibitor from the wait list. See To remove an exhibitor from a wait list.

To delete a product (that has a wait list) from an order

1.  From Exposition, select Process booth orders to open the Process booth orders window.

2.  Open an order (see Finding Exposition Orders), and click Edit.

3.  Double-click the booth product for which a wait list exists.

4.  (Applicable only if booth numbers are assigned) If a booth number is assigned to the product on the Booth Inventory Assignment window, a message prompts you to un-assign booth numbers to reduce the quantity ordered:

□    Click Yes to open the Booth Inventory Assignment window.

□    Double-click the Ordered booth number to move it under the list of Available booth numbers, and click OK.

5.  A message displays that states the number of companies on the wait list and prompts you to open the wait list after completing the order. Click OK to delete the product from the order.

6.  Click Save to update the order.
